The power of a Global Hospitality Network site selection explained in real time. HPN Global is contacted by a meeting planner who is interested in learning more about our incentive travel solutions. This planner coordinates an annual incentive somewhere different around the world each year. Past destinations have included Thailand, Sao Paulo Brazil, West Africa, Hungary, Zimbabwe, Malta and this year the focus is India.

The client’s instructions were simple, “Find me a full service resort with a pool and activities that can accommodate 150 rooms for 3-4 nights. Please do not exceed $150USD for double occupancy and the price should include overnight room, breakfast and dinner. You have 2 weeks to find me that property.”

With our marching orders in place we activated the HPN Global Network’s proprietary sourcing model. The model allows our team to enter the client’s requests into one system and pump it out to the applicable properties around the world that meet his specific requirements. Hotel’s receive our specs and can quickly and easily respond to the request with dates and rates. The initial response time is much faster for hotels since we are initially only looking for dates and rates or put more simply, asking the hotels, “Do you want the business.”

For anyone who has ever worked for a hotel and been asked to respond to electronic RFP’s from the likes of a CVENT or Starcite, you know how cumbersome and difficult it can be to respond. There are times in my hotel past where sales people simply refused to respond to a lead altogether when it came from systems like CVENT and Starcite because of the amount of time that was needed to complete.

Once the responses are received they are shared with the client who gives us some direction on which properties they are interested in focusing. At this point in the process we are now focused on the short list of hotels in Goa, India and we reach out to our HPN Global associate on the ground in India to assist with future conversation about the lead, about the hotel and most importantly the negotiations.

HPN Global’s meeting procurement model is much different and was designed to quickly and efficiently get meeting specs out to hotels. Next it was designed to be hotel sales person friendly so when a hotel sales person receives the response they are excited to respond. It was built for speed and designed for today’s real time data environment. We realize that our hotel partners are asked to respond to many group searches each day, HPN Global alone executes more than 300 searches per month. Additionally, because of the fact we are living in a very fast past world, we understand the minute a response is entered into one of these electronic response systems, the information is quickly becoming outdated. For this reason, we get the nuts and bolts information first, share it with our client, develop a short list and close the business at a speed and efficiency that our meeting planners and hotel partners expect and demand.

HPN Global is truly the world’s most global site selection group in the world. If you have a meeting or event domestically or internationally that you would like to test our meeting procurement model and system, please contact us. We would love to source your next event confidentially and show you the power and efficiency of HPN’s Global Network.
